How to invoice an NDIS plan manager

Make one invoice per participant with your ABN, the participant's NDIS number and a support item number, date, quantity and price for every support, then email it to the plan manager's accounts address. The plan manager checks it against the participant's plan and price limits and pays you from the plan.

Step by step

  1. Agree the supports and price. Put the support items, rates and hours in a service agreement with the participant.
  2. Log each shift. Date, start and finish times, kilometres, and a short progress note.
  3. Pick the right support item for each shift. Weekday daytime, evening, night, Saturday, Sunday and public holiday shifts have different items and price limits.
  4. Make the invoice. One participant per invoice, with the details in our NDIS invoice template. Put the plan manager on the “bill to” line and the participant's name and NDIS number in their own block.
  5. Send it to the plan manager. Most plan managers take invoices by email; use the address on their website or in your onboarding letter, and copy the participant if they ask for it.
  6. Keep records. Keep the invoice, shift times and notes in case the plan manager or the NDIA asks.

Before you send: quick check

  • Your ABN is active and matches your business name.
  • Each rate is at or below the price limit for your state or territory.
  • Saturday and Sunday shifts use the Saturday and Sunday items.
  • The invoice number is new and your bank details are on it.

The free generator checks the ABN, the item and the price limit for you, and makes the PDF in your browser.

Questions

Do I need to be a registered NDIS provider to invoice a plan manager?

No. Plan-managed participants can use unregistered providers. As of October 2026, registration is mandatory only for some supports, such as supported independent living, and the government plans to extend it to more supports over the next years.

What if the plan manager rejects my invoice?

Ask which line was rejected. The usual causes are a rate above the price limit, the wrong day-type item, a typo in the support item number or NDIS number, or dates outside the participant's plan.

How often should I invoice?

Weekly or fortnightly works for most support workers and keeps payments regular. Agree it with the participant in your service agreement.
