NDIS cancellation policy
Under the latest published NDIS claiming rules, you can claim a short notice cancellation or no-show at up to 100% of the agreed fee, if your service agreement allows it and you couldn’t fill the time with other paid work. A cancellation is short notice when the participant gives less than 7 days’ notice for support worker supports, or less than 2 clear business days for most other supports, such as therapy.
The rules at a glance

| Amount | Up to 100% of the agreed fee for the support |
| Conditions | Agreed in advance in the service agreement, and you couldn’t find other paid work |
| Travel | Provider travel can only be claimed if you actually travelled |
The NDIS Pricing Schedule 2026-27 sets the current price limits; the claiming rules for cancellations are still those of the Pricing Arrangements and Price Limits 2025-26 until updated guidance is published. See NDIS pricing arrangements.
Writing your cancellation policy
- The notice period for each type of support and how to cancel (call, text, email).
- The fee you’ll charge for a short notice cancellation or no-show.
- What happens if you cancel: how much notice you give and whether you’ll offer another time.
- Exceptions you’ll consider, such as hospital admission or emergencies.
How to invoice a cancellation
- Use the same support item number you would have used for the support.
- Select the claim type “Short notice cancellation” (CANC).
- Show the date and the hours that were booked.
- Keep a note of when and how the participant cancelled.
Cancellations on the invoice, done right. ShiftInvoice has the “Short notice cancellation” claim type on every line, and the service agreement template includes cancellation terms. Pro keeps your participants and makes weekly invoices. A$15 a month.

Is there a limit on how many cancellations I can claim?
The NDIS doesn’t set a fixed number, but frequent cancellations should be discussed with the participant and their support coordinator.
Can I charge a cancellation fee to a self-managed participant?
Yes, on the same terms if your agreement includes them. The participant pays from their plan funding.
What if I filled the slot with another participant?
Then you can’t claim the cancellation, because you didn’t lose the income.
