NDIS provider portal and payment requests
Only registered providers can claim directly from the NDIA. They do it through the my NDIS provider portal, by making a payment request against a service booking or plan for an agency-managed participant. Unregistered providers can’t use the portal for payment; they send an invoice to the participant’s plan manager or to a self-managed participant, who pays and claims the funds.
Who gets paid how
| Participant’s plan | Who can provide | How you get paid |
|---|---|---|
| Agency-managed (NDIA-managed) | Registered providers only | Payment request in the my NDIS provider portal |
| Plan-managed | Registered or unregistered | Invoice to the plan manager |
| Self-managed | Registered or unregistered | Invoice to the participant or their nominee |
Using the portal (registered providers)
- Log in through PRODA, the government’s secure authentication system, then open the my NDIS provider portal.
- Check you have the participant’s consent and an active plan for the support category.
- Create a payment request with the support item number, date, quantity and price, within the price limit.
- Make claims within the time allowed after the support is delivered; check current NDIA rules.
- Keep records that support each claim: service agreement, shift times and progress notes.
Invoices for plan managers and self-managed participants
A plan manager needs an invoice that shows your ABN, the participant’s name and NDIS number, the support item number, dates, hours, price and claim type. See how to invoice a plan manager and the NDIS invoice template.
Not registered? Invoice in two minutes. ShiftInvoice makes NDIS invoices with item numbers, price limits and claim types for plan managers and self-managed participants. Pro keeps your participants and plan managers and makes weekly invoices from logged shifts. A$15 a month.
Create an NDIS invoiceQuestions
Can an unregistered provider work with an agency-managed participant?
No. Agency-managed funds can only pay registered providers. The participant would need to change to plan management or self-management to use you.
Do I need PRODA as an unregistered support worker?
No. You invoice plan managers and participants directly and don’t claim from the NDIA.
What if a payment request is rejected?
The portal shows a reason, such as no funds in the category, the wrong item number or a price above the limit. Fix the detail and resubmit.
